Cloud Sync Isn't a Backup: Here's the Difference

Google Photos gives you 60 days to recover a deleted backed-up photo. That sounds like a safety net until you notice the part that matters: the deletion itself reaches Google’s servers in seconds, not days. Sync doesn’t protect you from deleting the wrong folder — it just makes sure the mistake travels everywhere at the same speed as the good files did.
That’s the whole problem with treating Dropbox, Google Photos, or iCloud as a backup. They’re excellent at one job — keeping the same files available on every device you own — and that job is not backup. It’s synchronization, and the difference shows up at exactly the moment you need it not to.
What sync actually does
A sync service watches a folder and copies every change to every other device connected to that account: new file, edited file, renamed file, deleted file. It’s a mirror, and a good mirror shows you everything accurately — including a crack.
Delete a folder of wedding selects by accident on your laptop, and sync faithfully deletes it from your phone, your desktop, and the cloud copy too. Ransomware encrypts your local drive, and if that drive lives inside a synced folder, the encrypted files sync up and overwrite the good ones in the cloud. The mirror did exactly what it was built to do. It just wasn’t built to ask “are you sure?”
The recovery window is shorter than photographers assume
Most sync services do keep a trash or version history, which is the thing people point to when they say “sync is basically backup.” It’s real, but it’s thinner than a proper backup and it varies by plan:
- Google Photos: 60 days in trash for backed-up items, only 30 days for anything not already backed up.
- Dropbox: 30 days of deleted-file recovery on Basic, Plus, and Family plans; 180 days on Professional, Standard, Essentials, and team plans.
- iCloud Photos: 30 days in Recently Deleted, then gone for good.
Those windows work fine for “oops, deleted the wrong shot.” They fall apart against the failure mode that actually costs photographers money: a problem that goes unnoticed for longer than the window. A corrupted catalog, a bad export overwriting originals, a drive that’s been silently dropping files for two months before anyone opens that job folder again — by the time you find it, the clean version has already aged out of trash on every tier except the most expensive one.
Why this is a business risk, not a tech detail
An undelivered wedding is not a file you can go re-shoot. If your only “backup” is a synced folder and that folder gets hit by anything that outlives the trash window — theft, a failed drive that syncs its own corruption, ransomware that sits dormant before encrypting — you don’t have a second copy. You have one copy that was in two places.
This is the gap the storage calculator is built to expose: it separates what you’re spending on capacity from what you’re spending on actual redundancy, so “I have a cloud plan” stops being confused with “I have a backup.”
The rule that actually solves it: 3-2-1
The 3-2-1 rule is old, boring, and correct: keep 3 copies of your data, on 2 different types of media, with 1 copy offsite. Applied to a working photographer’s files:
- Cards — the first copy, until the job is safely off them.
- Working drive — an SSD you edit from, second copy, different media type than the cards.
- A true offsite backup — third copy, physically or logically separate from the first two, and critically: not just a mirrored sync folder.
The part photographers get wrong isn’t the count, it’s step three. A folder that lives in Dropbox and syncs live to your laptop is one copy in two locations, not two copies. To count as the offsite leg, the service needs to keep versioned, point-in-time snapshots that a local disaster can’t touch — Backblaze Personal Backup, Backblaze B2, or a cloud backup tool with its own retention policy, not a sync client. Some shops now extend this to 3-2-1-1-0: one of those copies kept offline or air-gapped so ransomware scanning for connected drives can’t reach it, and zero untested backups — meaning you’ve actually restored a file from it once, not just trusted the icon that says it’s synced.
What this costs, and where it belongs
A second archive drive and a real backup subscription run somewhere between $10 and $30 a month for most wedding-volume shooters — the kind of number that’s easy to skip and easy to justify skipping, right up until the month it isn’t. It’s not a nice-to-have sitting outside your business; it’s a line item, the same as insurance or software licenses, and it belongs in the same math that sets your day rate. Sync is still useful. Keep it for what it’s good at — having your recent edits on your phone, sharing a folder with a second shooter, working from two machines without emailing files to yourself. Just don’t let it be the only thing standing between a client’s wedding and a bad afternoon.
